The Sequence
Grant first, training second, claim third
Employers lose claims for one structural reason far more often than any other: the grant was not approved before the programme ran. Everything else is documentation discipline.
1. Identify the gap
A training needs assessment states the competency shortfall in operational terms — this becomes the justification narrative in your grant application.
2. Apply for the grant
Submit in eTRiS before the start date, using the provider's outline, contact hours, trainer profile, participant list and cost breakdown.
3. Deliver and document
Signed daily attendance, the outline as delivered, assessments and certificates of completion for every participant.
4. Submit the claim
Claim actual attendance and actual cost against the approved grant, inside the claim window, with invoice and receipt attached.

How do I claim HRDF after training?
Submit the claim through your employer eTRiS account against the grant that was approved before the course. Attach the signed attendance record, the provider's tax invoice and receipt, the programme outline and trainer profile, and the certificates of completion. Claim the actual attendance and actual cost incurred, within the claim window stated in your grant approval.
Do I need to apply for the grant before the training starts?
Yes. HRD Corp approval is not retrospective. Training delivered without an approved grant generally cannot be claimed afterwards, no matter how complete the documentation is.
What documents does an HRDF training grant application need?
The programme title, objectives and outline with contact hours, the training provider details, the trainer profile, dates, venue and delivery mode, the participant list with designations and justification, and a cost breakdown. Your provider should supply all of the programme-side documents in one pack.
How long does the HRD Corp grant application take?
Plan several weeks between first scoping call and the training start date for a customised in-house programme: proposal and trainer profile, internal approval, then submission and HRD Corp processing. Public programmes with a published outline move faster.
Why do HRD Corp claims get rejected?
Most rejections trace to a missing pre-approved grant, participants claimed who are not on the signed attendance record, a claimed amount higher than the approved amount, missing trainer credentials, or submission after the claim window closed.
